3.9.6.3 Replacing Linked Files or Documents
When you have links to documents on your website, you will occasionally need to replace those documents with updated or revised versions. Ideally, you should remove old versions when you upload new versions of your documents. Your Bistro CMS will prevent duplication of documents in the file manager (same type of file with the same name), you will have to manage removal of old versions that have different names.
The following instructions provide the fastest and simplest way to replace an old document with a new one, and update the primary link to the document at the same time.
Note 1: if you link to the same document from multiple places on your website, you will have to subsequently update the other links on the site, unless you use exactly the same file name.
Note 2: please make sure there are no spaces in your filenames when uploading documents (eg: Test Document.pdf must be renamed as TestDocument.pdf with the space removed).
- Log in to Bistro and open the page which has the link to your document for editing. (If you need more information about accessing Bistro or editing pages, review Section 3.2. How to Login and Section 3.9. Editing Existing Pages).
- In the editing area, right click on the linked text or image, or select the linked text or image and click on the button that looks like two chain links on the toolbar
- This will open the Insert/edit link dialogue box.
- Click on the small browse icon
to the right of the Link URL: text field
- This will open the file manager (also known as the asset manager). Here you can view and organize all files, images and documents that already reside on your site. You can also upload new ones.
- From the list of files, find the one that this link opens
- Select the file by clicking the checkbox to the left of its name
- Delete the old version of the file by clicking Delete (from the menu of options directly above the list of files)
- Now that you have deleted the old version of the file, you can upload the new version
- To upload the new version of your file, click the Upload button at the top of this main asset manager dialogue box (above) and the smaller Upload dialogue box will open (see below).
- Here you can type in a filename (if you know the entire file path) or you can browse your computer to find your file by clicking the browse button.
- Once you have entered or located your file, click [Upload].
- When your file has finished uploading, close the upload file dialogue box
- Select your uploaded file from the list by clicking on the checkbox to the left of its name.
- Click the Insert link on the bottom left of the file manager dialogue box (below the preview box).
- You have now successfully uploaded and replaced your existing file
- You will be returned to the Insert/Edit link dialogue box where you can
- Click [Update] at the bottom of the dialogue box to save all of the same formatting options you had previously selected for this link, or
- Change the link formatting options before updating.

After you click [Update] you will be returned to your page. Remember to save your changes by clicking [Save] when you are ready to exit the page editor.
If the document you have just replaced was linked to from other locations on your site, and the name of the file was changed, you will now want to update the other links on your site by following the same process described above, except that you simply select the new file from the list in the file manager, click the Insert link, and then [Update] .
